    Job Description

    Procurement

    • Develop and regularly refresh the procurement strategy and plan to optimise the cost of procurement for the company without disrupting services and supplies to customers.
    • Work collaboratively with product and sales personnel to understand the market demands and forecast accurately the procurement needs, informed by accurate data from the Inventory System.
    • Work collaboratively with product managers to identify, evaluate and shortlist qualified suppliers for the “Selected Supplier List” and ensure that purchases must be done with a supplier in the List.
    • Develop and recommend criteria to short-list potential suppliers, seek management’s approval and enforce adherence.
    • In consultation with product managers, liaise with suppliers on the pricings of the supplies and manage the recommended pricings for sales
    • Work the product managers and country managers to commit annual purchasing targets to the suppliers as an overall purchasing package.

    Inventory Management

    • Collaborate with product and sales managers to determine the optimal inventory level of various products.
    • Actively monitor the inventory levels of products and ensure accuracy and timeliness of stock level data.
    • Put in place processes and control measures to ensure that movements of stock items are accurately and timely recorded and hold the relevant persons accountable for the receipt and custody of items.
    • Audit the stock periodically and on a surprise basis to ensure that all items are accounted for.
    • Liaise and work with external auditors in the annual audit of inventory and respond to audit queries.

    Shipment

    • Plan and monitor the shipment of purchases to ensure that they arrive as per schedule and in good conditions.
    • Plan, monitor and ensure that the purchases clear the custom checks and are not being held up.
    • In consultation with the Regional Product Managers, evaluate potential freight forwarders, negotiate on terms and select them for handling the Group’s purchases. Monitor their performance and follow up to resolve issues when they arise.

    Logistics and Warehouse Management

    • Lead and oversee the planning of the warehouse layout and design to optimise space usage, facilitate movement of inventory items and protect the items.
    • Lead and oversee the planning of the warehouse operation to facilitate stocking, retrieval and movement of inventory items. Deploy the use of supply chain management principles
    • Manage the implementation of environmental protection policies and procedures.
    • Put in place methods and techniques to better manage time and temperature-sensitive inventory items and ensure that they are observed.
    • Deal with incidents and issues arising from the day-to-day operations of the warehouse.
    • Analyse and track the cost of operating the warehouse and find ways to minimise cost without affecting service turnaround and security of the inventory items.
    • Work collaboratively with product managers to explore with suppliers to implement just-in-time techniques or arrange direct shipment to client’s premises, wherever feasible.

    Process Improvement and Adoption of Technology

    • Continually review and improve operation procedures and work processes (eg simplify and automate) to raise productivity and efficiency.
    • Source for suitable technology to improve operation efficiency and accountability and drive the implementation of the selected technology or application systems.
    • Ensure that the operation complies with the GDPMDS standards and requirements
    • Regularly engage product and sales personnel to explore and find ways to improve how the operations can support business and fulfilment in a cost-effective manner.

    Staff Management & Development

    • Recruit, orientate, lead and guide the Operations team, ensuring that the day-to-day duties are carried out according to standards and requirements.
    • Engage, mentor and motivate team members to excel and grow them personally and professionally.
    • Lead performance management and learning & development, adopting and leveraging on Skills Frameworks and other relevant frameworks
    • Manage staff issues and appraise their performance diligently

    Job Description

    • Responsible for the day-to-day running of the Loan Operations function, ensuring timely, accurate and reliable processing of loan disbursements, funding advices, rollovers and collection of principal repayments, interest and fees.
    • Provide legal documentation support for the drafting and preparation of facility letters and other legal and security documents for corporate banking facilities, review draft legal documents under bilateral and syndicated credit facilities including those involving export credit agencies; to co-ordinate the review of the executed facility and security agreements with Head Office teams.
